Two Countries With Two Different Sets of Requirements

Streamlined Notary Event for Barcelona and Madrid Study Abroad Students

Participation: Over 200 students preparing for IES and CIEE programs in Spain

Ahead of the event, Bloomington Notary reviewed the documents students would need notarized and proactively printed extra copies to minimize disruptions from missing or incorrect forms. This advance preparation helped reduce disruptions during the event.

To ensure a smooth experience:

  • Bloomington Notary implemented a scheduling platform to manage student flow and minimize delays
  • A small support team helped pre-screen documents, confirm ID validity, and collect payments
  • A second commissioned notary was brought on-site to assist during high-traffic periods

Over the course of two days, more than 300 documents were notarized for over 200 students, with scheduling and on-site support structured to accommodate a high volume of students within the available event times.

Expedited FBI Background Check Apostille Coordination for Portugal Students

Participation: Over 30 of the 60 eligible Portugal-bound students utilized this expedited service.

Shortly after the notary event, a second group of students preparing to study in Portugal needed FBI Background Checks apostilled in time to meet strict program deadlines.

Rather than directing students to figure out the complicated federal apostille process themselves, which can take seven to eight weeks when submitted by mail, Bloomington Notary offered a streamlined alternative:

  • Students uploaded their completed FBI background checks via a custom-built, secure portal
  • Payment was collected during the upload process, followed by clear next steps
  • Documents were submitted daily to a dedicated courier who hand-delivered up to 10 documents per day to the U.S. Department of State in Sterling, Virginia
  • Apostilled documents were returned in approximately three weeks, allowing students to meet their document deadlines

Once returned, each document was individually packaged in a labeled protective envelope with a personalized coversheet containing handling instructions. The completed packages were then hand-delivered for distribution to the students.
